Privacy policy

W-Pack attaches great importance to the protection of your personal data and processes it in accordance with the General Data Protection Regulation (GDPR) and the Belgian Act of 30 July 2018. This privacy policy explains what data we collect, why, how long we keep it and what rights you have.
1. Data controller
W-Pack is responsible for processing your personal data. For any questions about this policy or your privacy rights, you can reach us via the details below:

2. What data we collect
Depending on how you interact with us, we process the following categories of personal data:
- Contact details you enter via the contact form: name, email address, company and your message.
- Your email address when you subscribe to our newsletter.
- Older form submissions may also contain the IP address and user agent. We no longer add this metadata to new contact records.
- Technical and usage data about the visit, such as pages visited, referrer, country, device and browser data, and performance measurements. Google Analytics processes additional usage data only after your consent (see section 11).
- Providing your details via the contact form or newsletter is always optional; without them we cannot handle your request.
3. Purposes and legal bases
We only process your data for specific purposes, each based on a valid legal ground under Article 6 of the GDPR:
- Responding to your contact request and taking any pre-contractual steps, based on your request and our legitimate interest in handling business enquiries.
- Sending you our newsletter when you have subscribed, based on your consent, which you can withdraw at any time.
- Securing our website, keeping it working properly and preventing misuse, based on our legitimate interest.
- Aggregated, cookieless measurement of website operation and performance through Vercel, based on our legitimate interest in improving the website.
- Additional usage statistics through Google Analytics, solely on the basis of your consent.
4. Recipients of your data
We never sell your data. We do rely on carefully selected service providers (processors) that act only on our behalf and according to our instructions, for example:
- Vercel, for hosting, cookieless Web Analytics and Speed Insights.
- Sanity, as our content management system and for storing contact and newsletter submissions and, for older submissions, the related technical metadata.
- Google Analytics, for usage statistics when you accept analytics cookies.
- Competent authorities, where we are legally required to do so.
5. Transfers outside the EEA
Vercel, Sanity and Google may process data outside the European Economic Area. Where required, these transfers rely on a European Commission adequacy decision or Standard Contractual Clauses (SCCs) and supplementary measures. You can request more information about the applicable safeguards via info@w-pack.be.
6. Retention period
We do not keep your data longer than necessary for the purposes for which it was collected:
- Contact-form messages and related technical metadata: up to 5 years after the last contact, unless longer retention is legally required or necessary for a legal claim.
- Newsletter subscriptions: for as long as you remain subscribed; you can unsubscribe at any time.
- Cookie preference: up to 6 months. Google Analytics cookies: up to 2 years. Other technical data is retained according to the settings and retention periods of the relevant service provider.
7. Security of your data
We take appropriate technical and organisational measures to protect your personal data against loss, misuse and unauthorised access. Access to your data is limited to those who need it for the stated purposes.
8. Your rights
Under the GDPR you have the following rights regarding your personal data:
- The right of access to the data we process about you.
- The right to rectification of inaccurate or incomplete data.
- The right to erasure ('right to be forgotten').
- The right to restriction of processing.
- The right to data portability.
- The right to object to certain processing.
- The right to withdraw your consent at any time, without affecting the lawfulness of processing before withdrawal.
- You can exercise these rights via info@w-pack.be. We will generally respond within one month and may ask you to confirm your identity.
9. Complaint to the supervisory authority

10. Automated decision-making
We do not make decisions based solely on automated processing (including profiling) that produce legal effects concerning you or similarly significantly affect you.
